Who we are
ClearClass turns a school schedule that is hard to read into a clear one that you can correct, style, download, print, and share.
ClearClass is operated by Effective Product Management, Petah Tikva, Israel, which is responsible for the information described here.
The short version
- You do not need an account. We never ask for your name.
- The document you upload is used only to read the schedule and is deleted from our systems within 24 hours.
- The schedule we read from it is kept for 7 days and then deleted.
- To read the schedule, its content is sent to an AI service provider in the US, which may keep it for up to 30 days to detect abuse of its service.
- Nobody else sees your schedule unless you share it with a link.
What we handle and why
The document you upload or paste
Uploading is optional. Before you start, a short notice beside the upload area says that the AI service provider that reads the document may be in another country, how long the document is kept, and that by starting a schedule you agree to the Terms of Use and acknowledge this policy.
A PDF, a screenshot, a photo, or text. It can name children, classes, teachers, rooms, and the school. We use it only to read the schedule. It is stored encrypted on our server, is never shown again to anyone, and is deleted as soon as reading no longer needs it, and no later than 24 hours after you upload it. It is also deleted at once when you delete your schedule or replace the document. The AI provider that reads it keeps its own copy for up to 30 days, as described in "Who processes information for us" below.
The schedule we read
The days, periods, times, subjects, teachers, rooms, groups, notes, and title that we read from your document, together with your corrections and short quoted pieces of the document that explain an uncertain detail. We use it to show, correct, style, download, print, and share the schedule. It is kept in our database for 7 days from the moment you start, and then deleted. You can delete it earlier at any time.
Your style choices
The style you pick and whether teachers, rooms, and times are shown. They are kept and deleted with the schedule.
A reading kept for one day
For 24 hours we keep the uncorrected schedule read from a document, so that an identical document is not read twice. It holds no corrections and nothing about who uploaded it, but like the schedule it can hold the names and other details in the document. A person who uploads an identical document within that day receives a copy of that reading. It is deleted after 24 hours, or at once when the schedule it came from is deleted.
The image you download or share
The schedule image is kept encrypted for 10 minutes so that a repeated download returns the same image. A record of each image we prepare, including when you open the Share panel, is kept for 90 days. The record contains no schedule content. It holds technical details such as format, size, and outcome, random identifiers of your session and of the schedule, and a key that recognizes a repeated request. It is kept after the schedule itself is deleted.
Share links
When you choose to share, we create one link that shows the finished schedule read-only. The link works for 72 hours after the last time you shared and never longer than the schedule itself. You can stop the link at any time, and a stopped link never works again. We record each time you share and count how often the link is opened.
Anyone who has the link can see the finished schedule, including the names in it, until the link stops working. They never see the document you uploaded, your corrections in progress, or anything about you. Shared pages are not listed and are not offered to search engines. When a link is pasted into another app, its preview shows a generic title and image, never the schedule's title.
When you share through another app, such as WhatsApp, that app receives the link or image from your device, with a suggested message that includes the schedule's title, which you can change before sending. To build the link's preview, the app may also open the link and receive the preview described above from us. Stopping a link does not remove copies of the image or of the schedule that someone has already saved.
The cookie that keeps your schedule yours
ClearClass sets one cookie of its own, cc_capability, with a random value that ties your browser
to the schedules you created. It replaces an account. It lasts 7 days, or a
little longer when needed to cover a schedule you created later, and is needed
for the service to work. We keep a protected fingerprint of the value, a random identifier that the usage events described below carry, the interface language, and the time.
When you open the feedback form, the service that checks that you are a person may keep its own technical data in your browser, as described under "Feedback you send".
What stays in your browser
Your browser remembers that you answered or dismissed the feedback invitation for a schedule. This value never leaves your browser. You can remove it by clearing the site's data.
Measuring how the product is used
We record how the product is used, for example when a schedule is started, read, corrected, downloaded, or shared, and technical facts about each AI reading, such as its cost. These records use random identifiers and never contain schedule content, names, file names, feedback text, IP addresses, or browser details. They are kept for 400 days in our own database and are not sent to any analytics provider. We use them to see whether schedules are read well, where people stop, and what the service costs.
Our application does not read, store, or log IP addresses. Our web server uses your IP address only in its memory, briefly, to limit how many requests one network can make, and never writes it down. The text your browser sends to describe itself is read only to recognize link previews and automated traffic, and is never stored.
Logging visits to the public pages
We log visits to the public pages (the homepage and the privacy, terms, and accessibility pages) and how many schedules are started from the homepage, with a web analytics service in the EU that uses no cookies. For each logged visit it receives the page's address and, if you came from another site, that site's main address. From your browser's connection it also receives your IP address and the text your browser sends to describe itself. It uses them to tell roughly where a visit comes from (country, region, and city) and which kind of browser and device it uses, and to count each visitor once a day. It does not store your IP address or that text. It keeps a record of each visit without them, and shows us only totals. It receives nothing about your schedule, no identifier we give you, and nothing from a schedule's private pages or from a shared schedule. The records and totals are kept for up to 36 months. We do not ask for consent, because this measurement uses no cookies and does not identify you.
Feedback you send
The topic, an optional rating, optional areas to improve, an optional message, and an optional email address for a reply, together with the interface language and, when you send it from a schedule's page, a random identifier of that schedule. Please do not include children's names or school details. Stored feedback is linked to your anonymous session until that session is deleted, and has its own identifier and the time it was received, which the email also carries. Feedback is kept for 365 days in our database and is also sent by email to the operator, who keeps the email for 12 months after the last communication about it, or deletes it within 30 days of your request to delete it if that comes first, unless a legal dispute, a security incident, or a legal obligation requires keeping it longer. Before sending, your browser completes a check that you are a person. The provider that runs this check receives your IP address and signals from your browser, and may keep its own technical data in your browser.
Records for keeping the service running
Technical records of requests and failures: a request identifier, the kind of page or action, the result, and the duration. They contain no schedule content, no cookies, and no identifiers of you or your schedule. Logs are kept for 30 days.
Backups
Every day our server makes an encrypted copy of the database. It is encrypted before it is stored, with a key that only the operator holds, on the operator's own computer; our server cannot read it. A copy is deleted once it is 3 days old on the server and 14 days old on the operator's computer, even if no newer copy is made. A copy can therefore hold a schedule, a share link, or feedback for up to 14 days after it was deleted from the live service. Uploaded documents and schedule images are never in a backup. If a backup is ever restored, everything that expired in the meantime is deleted before the service uses it again, but a schedule you deleted after that copy was made can reappear until its own 7-day period ends.
Who processes information for us
We do not name our service providers here; we describe each by what it does and, where it matters, where it is.
| Provider | What it receives |
|---|---|
| An AI document analysis and text recognition provider, in the US | The text of your document, to decide whether it is a schedule and to read it; and an uploaded image, to turn it into text first |
| An email delivery provider | Feedback emails, to deliver them to the operator |
| A bot detection and abuse prevention provider | Your IP address and signals from your browser when you open the feedback form, to check that you are a person |
| A cloud hosting and storage provider, in Germany | Everything stored on our server, which it hosts |
| The email hosting provider of the operator's mailbox | Feedback emails, which the operator receives and manages there |
| A web analytics service, in the EU | Visits to the public pages, as described above |
We do not send the AI provider anything that identifies the person who uploaded the document, such as a cookie or a file name. The document itself may contain names or other personal information, which the AI provider processes to read the schedule.
The AI provider processes your document only to read it for us, as our processor under a data processing agreement. It does not use it to train its models. It keeps what it receives for up to 30 days, only to detect abuse of its service, and then deletes it unless the law requires it to keep it longer. It processes it in the United States.
Each other provider processes information only to provide its service to us, under its own terms, and may do so outside Israel.
Information about children
Schedules often name children, classes, and teachers. We treat every schedule as private: it is visible only to the person who created it and to the people that person shares it with. The operator has no screen for viewing schedules and reaches stored information only when needed to keep the service running or to restore it.
There is no minimum age and no age check. A person under 18 may use ClearClass only with the permission of a parent or legal guardian; the notice beside the upload area says so.
Seeing, correcting, and deleting your information
You can ask to see, correct, or delete the information we hold about you.
- See and correct a schedule in the browser that created it. Delete it at any time from its page; the uploaded document and the schedule are removed at once. Records that hold no schedule content, such as download and usage records, stay for the periods above.
- Stop a share link at any time from the Share panel.
- Everything else is deleted automatically at the times above.
- For anything else, such as feedback you sent, use the Feedback button and choose the privacy topic, with an email address for the reply.
- If you are named in a schedule someone shared with you, you can ask us to stop its link the same way: send us the link. Anyone who has the link can already see what it shows, so we stop it without asking who you are. The schedule itself is deleted at the end of its 7-day period.
Because there are no accounts, we may need the browser that created a schedule, its share link, or details of the feedback you sent to find your information, and without them we may be unable to identify it. Deleted information can stay in our encrypted backups for up to 14 days. If a backup is restored, a schedule deleted after it was made can reappear until its own 7-day period ends.
